Picks up, introduces itself as an assistant, and asks what the caller needs. Name, number, reason for calling and any detail you specify are taken down and sent straight to your inbox or CRM.

How a call actually goes

You should know exactly what a caller hears before you put an assistant on your line. This is the whole sequence, including the parts where a person takes over.

The assistant picks up on the calls you choose: after hours only, when reception is already on a call, or every call from the start. You set the rule.

It answers and says what it is

Every call opens the same way: your business name, then a clear statement that the caller is speaking to an AI assistant and can ask for a person at any point. If calls are recorded, the caller is told here too. No caller is left to guess.

It works out what the caller needs

A new patient, a client chasing a case update, a tenant with a broken boiler. The assistant asks the questions you would ask, in the caller's language, and confirms the details back before acting.

It acts, or hands over

Books the slot, takes the message, or transfers the call and arranges a callback. If the request matches one of your hand-off rules, an emergency, a complaint, a request for a person, a human takes over and the assistant steps back.

Will callers know they are talking to an AI?

Yes, always. The assistant introduces itself as an AI assistant at the start of every call and tells the caller they can ask for a person at any point. We do not build receptionists that pretend to be human.

What happens with emergencies or complaints?

They go to a person. On the strategy call we write the hand-off rules together: which words or situations trigger an immediate transfer, who is called, and what happens if nobody picks up, for example an urgent text to the on-call person and a callback arranged with the caller. The assistant does not try to handle these itself.

Does it work with our booking system or diary?

That is settled on the strategy call, live, with your system on screen. If your booking system or calendar has a way for software to write into it, the assistant books directly. If it does not, the assistant takes the booking request and your team confirms it. We tell you which it will be before you commit.

What about GDPR and call recording?

Calls run on UK hosting. If you record calls, the caller hears a consent line at the start of every call. How long transcripts and recordings are kept is a setting you control, and we set it to whatever your own retention policy says, not ours.
